Privacy Policy
At Ziarkash Motor Logistics, we respect your privacy. This policy explains what information we collect when you use our website or services, how we use and protect it, when we may share it, and the choices available to you.
Your details help us answer your enquiry and arrange the service you request. We do not sell your personal information or use advertising trackers. A VIN check sends the VIN to NHTSA, and Cloudflare may temporarily cache the result for up to 24 hours. If you have a question or privacy request, contact us using the details below.
1. Who we are and what this policy covers
Ziarkash Motor Logistics (“ZML”, “we”, “us”) operates this website and the vehicle sourcing, sales-support, and logistics services described on it. This policy covers the website, enquiry and access forms, member features, vehicle lookup tools, and information you choose to send us by email, phone, or WhatsApp.
Our contact details are listed at the end of this policy. We use our brand name here and do not state a separate registered legal name or registration number.
2. Information we handle
The information depends on what you ask us to do. It may include:
- Enquiries and contact details: your name, phone or WhatsApp number, email address, subject, message, and the contact preferences you provide.
- Vehicle and service details: make, model, year, mileage, budget, destination, VIN or chassis number, auction-lot details, condition notes, and information needed for a quote, sale, sourcing request, shipment, or customs enquiry.
- Images and documents: photographs or files you voluntarily send with a request, by email, or in a WhatsApp conversation. Please do not send identity, banking, or other sensitive documents unless we have explained why they are needed and how to send them safely.
- Member or access requests: your name, contact details, access status, and the information needed to verify and maintain a secure sign-in. We currently use one-time codes or links instead of passwords.
- Website and security data: our hosting provider may process your network address, browser information, and basic request details to deliver and protect the site. We also use limited technical information to help prevent misuse.
- Public tool searches: a VIN/chassis number or vehicle details such as make, model, year, engine size, or fuel type that you enter to request a lookup. A public lookup does not require your name or contact details. Do not put personal information in a vehicle-search field.
We do not currently offer a card-payment form on this website. Do not send card security codes or online-banking credentials through a website form, email, or chat.
3. Vehicle listings and marketplace enquiries
When you list a vehicle or enquire about a listing, we may process details such as the vehicle’s make, model, year, mileage, asking price, condition, photographs, and relevant contact information. Information displayed publicly will depend on the listing fields and any privacy settings available for that feature. We do not intend for private contact details or documents to be published unless you have agreed or disclosure is otherwise authorised.
4. How we use information
We use relevant information to:
- reply to enquiries, prepare or clarify quotes, and provide requested vehicle sourcing, selling, auction, shipping, and customer-support services;
- manage member access and respond to requests about particular vehicles or auction lots;
- coordinate with a seller, auction, inspector, carrier, customs broker, or other service partner when you ask us to arrange a transaction;
- operate vehicle lookup functions and return the information requested;
- protect accounts and services, prevent misuse, troubleshoot errors, and maintain the website; and
- meet applicable legal obligations, handle disputes, or protect people and property.
We may send messages needed to answer your enquiry or manage a service you requested. We do not currently use the website to run targeted advertising or send an unsolicited marketing newsletter.
5. VIN and vehicle lookup tools
When you use the 17-character VIN decoder, we send the VIN to the U.S. National Highway Traffic Safety Administration’s vPIC service to request vehicle specifications. Depending on the request, it may go from your browser directly or through our website provider. Cloudflare may temporarily cache the result for up to 24 hours. We do not save a VIN-check request to our customer enquiry records or link it to your member profile. Recall searches send make, model, and model year to NHTSA’s recall service.
If you include a VIN or other vehicle detail in a contact form, access request, email, or WhatsApp message, that information is handled as part of that communication and may be kept with the related request. The privacy practices of NHTSA and other external services apply to information they receive.
Where a public vehicle or customs-duty search is offered, it uses the vehicle fields you enter to find a matching record. Search fields are not intended to identify you; hosting and security providers may still process technical request data. The accuracy and coverage limits of lookup results are explained in our Disclaimer.
6. Cookies and information security
We use necessary sign-in cookies to keep member accounts working. A member session expires after about 60 minutes, and one-time sign-in links or codes expire after about five minutes. We do not use advertising or analytics cookies. If you block cookies, member-only features may not work. Our website host may also use necessary technical measures to protect the site.
We use appropriate technical and organisational measures to protect information against unauthorised access, misuse, loss, or disclosure. Access is limited to authorised personnel and service providers who need the information for their work. No method of electronic storage or transmission is completely secure.
7. When we share information
We share information only when reasonably necessary to operate our website, respond to your request, or provide an agreed service. This may include website and email providers, vehicle-data services, auction providers, inspectors, transport and shipping companies, customs brokers, and other parties involved in your transaction.
We do not sell personal information. Where you choose to use an external service, that provider’s own privacy practices may also apply. Examples include Cloudflare for website hosting and security, Resend if enabled for service emails, NHTSA for requested VIN or recall lookups, and WhatsApp/Meta when you contact us there.
We may also share information with professional advisers or authorities when required by law or reasonably necessary to protect people, rights, safety, or property. For more detail, see Cloudflare’s privacy policy, Resend’s privacy policy, WhatsApp’s privacy policy, and the NHTSA vPIC API information.
8. International handling
Because we work with international service providers and vehicle, shipping, and logistics partners, your information may be processed in countries other than your own. Privacy laws may differ between countries. We take reasonable steps to manage information in accordance with the requirements applicable to our operations.
Independent providers may process information in the locations described in their own privacy notices. We do not promise that every provider stores data in a particular country.
9. How long we keep information
We keep information only for as long as it is reasonably needed for the purpose it was collected, including to complete a request, provide support, maintain account security, keep transaction and accounting records, resolve disputes, or meet legal obligations. The period can differ by record type; we do not set a single fixed retention period for all information.
- VIN lookup responses in the Cloudflare edge cache may remain for up to 24 hours.
- One-time email codes and access links currently expire after about five minutes. Member sessions currently expire after about 60 minutes.
- Enquiry, access, and transaction records may be retained while a request or customer relationship is active and for a reasonable period afterward where needed for support, security, accounting, legal obligations, or a dispute.
When information is no longer needed, we take reasonable steps to delete it or remove identifying details, subject to applicable obligations and operational backup or security processes.
10. Your choices and privacy requests
You can contact us to ask what information we hold about you, request a correction, ask us to delete information, or raise a concern about how it is handled. You may also choose not to provide optional information, though we may then be unable to respond to or complete the service you requested.
We may need to confirm your identity before acting on a request, and we may retain information where required for a transaction, security, legal, or dispute purpose. Privacy rights differ by country; we will consider requests under the rules that apply to you. To make a request, email ziarkashmotorlogistics@gmail.com or call/WhatsApp +93 77 755 5855.
11. Children
Our vehicle and logistics services are intended for people able to make vehicle-related enquiries and arrangements, not children. We do not knowingly collect personal information from children. If you believe a child has sent us personal information, contact us so we can review and take appropriate steps.
12. Changes and contact
We may revise this policy when our website, tools, providers, or data practices change. The “Last updated” date at the top shows when the current version was posted. Material changes will be reflected on this page.
